Google: Transfer Files from KCS Google Drive to a Personal Drive

If you are leaving KCS as a student or staff member, you may want to transfer your Google Drive files to a personal account. You can use Google Takeout for this process. Follow the steps and watch the video tutorial below:
  1. Create or open a personal Google Drive account that is separate from your KCS account.
  2. In your KCS Google Drive, identify the files you want to transfer.
    1. Tip: In your KCS Drive, create 4 folders and name them Important 1, Important 2, Important 3, and Important 4. Sort your existing files into these 4 folders, prioritizing the most valuable files into Important 1 and Important 2. Put less important files into folders 3 and 4. This will help you make choices about what to move if your files exceed the file space allowed in your personal Drive. **If you try to transfer data into a Drive that does not have adequate space, the process will fail.
  3. Go to https://takeout.google.com/
  4. Select the types of data you want to transfer by checking boxes.
  5. In the Drive section, click All Drive Data. Uncheck Include All Files and Folders in Drive.
  6. Select the top folder you prioritized so it will be moved to the other Drive. Repeat this process for the remaining folders depending on how much space is available in your personal Drive.
  7. Follow the prompts, and select Send Download Via Email to access your file export. When the export is ready, you will be able to download the export file from your email and upload it into your personal Drive.

You should not transfer anything out of your KCS Google Account that is related to student data or anything associated with a purchased license such as adopted text materials.

If the process explained above doesn't work you can try Google Transfer:

To use Google Transfer (specifically, the Google Takeout Transfer Tool), sign into your Google Workspace account, navigate to Transfer your Content (accessed through Manage your Google Account), enter the email address of the destination account, verify it with a code, and choose the content you want to transfer. A more detailed breakdown follows below:

  1. Access the Google Takeout Transfer Tool
  2. Sign in to your Google Workspace account → Make sure you are logged into the Google Workspace account from which you want to transfer data.
  3. Go to Manage your Google Account → Click on your profile photo in the top right corner and select Manage your Google Account.
  4. Find Transfer your Content → Scroll down and look for the Transfer your Content option.
  5. Start the transfer → Click Start Transfer.
  6. Enter destination account and verify → Enter the email address where you want to copy your files in the Enter a Destination Account field.
  7. Send code → Click Send Code and check the email address entered in the previous step.
  8. Paste the code → Click the confirmation code. It will open up in a new tab. Copy this tab then enter it back into the transfer tool and click Verify
  9. Choose your content and start the transfer → Choose the content you wish to copy and select Start Transfer
