in this video, we're going to look at how to create breakout rooms within the teams calendar in your teams meeting.
So I am here creating a new meeting I went with my people invited. I've got the time. I've got everything set up. And now I want to create before the meeting ever starts. I want to go ahead and select and create breakout rooms. So you can see up here at the top, I get these multitude of different options that I can manipulate and change. One of them is breakout rooms. I'm going to go ahead and click on breakout rooms. And up here at the top, it's going to show me the long list of people that are invited to my meeting.
Alright, now I only have two people. But if you have more people, all of them and all their pictures would be listed up here. So the first option here is create breakout rooms. Go ahead and click on it. The first thing that's gonna ask you is how many rooms do you want? If you click the drop down, you get a long list of how many rooms you can create. For right now, we're just gonna create two. So I'm gonna go ahead click Add Rooms. It's gonna go ahead and create those rooms within the meeting itself. And then it's gonna give you the option to select the participants in there. So we have room one, we have room two, and then we have these three dots. If I click on it, I can Change the name. So we're gonna call this the blue room. Okay. Okay. And split three dots again. Rename. We're gonna call this the red room. Alright.
And so now, I can kind of get a better idea of where I'm putting people once we go to do that. Click the three dots again. You get room options. It's going to launch your meeting options, which can you can decide who's in the lobby, co-organizers, all of those things the meeting chat. you can affect these and they will change. But if you set these settings up for the meeting, you're probably going to keep them the same within the actual room itself.
Okay. So going back, you're going to get this button that says assign participants. We click assign participants. It'll do it automatically. So when you select automatically, it's just going to put those people in randomly or I can select manually and change it there. Click next. And now I can say, okay, if I highlight this one, I go ahead and select room. I want to put him in blue and then select this one. I'm going to put him in red. And so I'll have my whole list here of participants that are in my room. Or in my meeting and I can go ahead and decide what room I want them to be in. Okay. Again, if I click cancel here. And assign participants, if I leave it on automatically, then it's gonna put those people in the breakout rooms at random. So I don't, I'm not gonna be deciding what it's gonna be. So you see, we're assigning just participants, and then boom, one person's in blue, one person's in red, and they are evenly distributed into those rooms.
Okay? So I'm gonna go ahead and click join now. Go ahead and launch this meeting. Alright? All right. Mmm, again, normal options up here at the top and now you can say I have rooms. If I click breakout rooms, Got the blue room, the red room, and if I click the cog, I can sign presenters to manage these rooms, so I can select that, and then people are presenting, I can select where I want them to go. I can set a time limit, so hey, we're gonna do these breakout rooms for six minutes. I can automatically move people, or I can remove them. And then move them manually, and then I can let people return to the main meeting whenever they want, or have to stay in there until I end it or those six minutes are concluded.
Okay. If I click open, then now those rooms are open. Okay. I can close those rooms and it's gonna bring people back out to the main meeting. So right now those people are in those rooms by themselves. Okay. Nothing's going on. If I click close, those rooms, then they would all get shut down and they would all come back to my main meeting. This little announcement button is to send an announcement to all those groups. Hey. Okay. There is five minutes remaining in the breakout room. Okay. Send that to them and now they get that announcement with . Okay. Let's say that I am, you know, I'm the manager. I'm saying in the main meeting, but I want to pop into one of these rooms. I click the three dots and it gives me now this option of join the room. So I can jump in there. And now it's throwing me back into. And see. To this room, if I click people, you can see that I'm the only one in there. Umm, but up here at the top, you can see I am in the blue room. Alright, now I'll leave that and I'm back into the Like, I room as I was before. Click resume and now we're back in here. Ok? And those people are still located back there in those rooms. When I'm ready for them to come out, let's say I didn't set the time or if I click close room. We're moving back, people back into the main meeting. So now you can see these rooms are closed and they are back in there.
If I click the plus sign, it may take it a few minutes, but it's actually going to create another room. There you see it. Room number three and I can do the same thing I did before where I can click rename. Yellow. And now if I had people in here, I could reassign them to the positions or the rooms that I wanted them to be in. Based upon these three. And then they would be listed there, and then I can change this from red to blue to yellow. Save. Save. And now they are located in the room that I wanted them to be in.
Alright, I hope this was helpful.
