Microsoft Office: Video - How to Create a Teams Meeting (Updated 2024)

In this video, you will see how to set up a team's meeting using Microsoft Outlook 365. The first thing to do is to navigate to your Outlook account.

Once you're in Outlook, make sure you're on your calendar screen and you'll simply click the top blue button on the left, this is new event. You're going to create a calendar event just as you would in any other circumstance. I'm going to call this test meeting. I'm going to decide whether or not it needs to be a team's meeting. For these purposes, I'm going to toggle to yes so we can see how a team's meeting looks in a calendar event. Here I will invite my, um, attendees. And then beneath that, I'm going to make sure all of my date and time settings are accurate so that the meeting, um, will show up on my attendees calendars at the right.

Once I've, um, created the parameters for the meeting, I can insert files, links, notes, anything I want for folks to know right here in the body of the calendar event. Once I'm done with that, I'll simply hit save. And now, when I pull up that meeting in my calendar, I can see that right here. When I open it, I get a preview, but if I open it completely, you're going to see things look a little different.

Now, Microsoft has populated our meeting links. This is where you and anyone else who is attending the meeting will go to access the meeting. You'll simply click to join. You may have to follow some on-screen prompts as far as letting people into the meetings. But once you've gotten this far, you're going to be able to do just fine in your meeting. If it's been quite a while since you ran or attended a Microsoft Teams meeting, you may need to set particular permissions in your Mac settings in order for your microphone and your speakers to work during the meeting. If that's the case, you will receive some on-screen warnings. After you've read those warnings, you'll go up to system settings and follow the directions that are provided to you on screen.

You may have to have an administrator's password to change your computer's settings. You can find your building's OSTR to help with that, or if, again, if you're a Mac user, user, you can use to make yourself an administrator temporarily.

So if you go in here and search make me an admin, you will be allowed to install the things or change the settings that you need to change on your device, and then you will be able to go back to the meeting and participate successfully.
